Frequently Asked Questions

A sworn translation is a translation performed by an official translator appointed by the Ministry of Foreign Affairs.

A copy of the original document must always accompany the translation. It also comes with a certification at the end with the translator stamp and signature that accredits its accuracy. You can use digital copies, as well as physical ones, both are legally valid.

Sworn translations are provided by officially recognized translators who have been authorized by the Ministry of Foreign Affairs. Their seal and signature ensure the validity of a foreign document. All their translations hold official status in front of official authorities and organisations.

Sworn translations are usually required when a translation needs to be used for administration purposes or governmental requirements.

In each case, the official organisation to which translations must be submitted will tell you whether or not the translation needs to be a sworn one.

In case you need a sworn translation, remember that it must be accompanied by an original copy, so make sure to upload a good quality scan.

A sworn translation is officially recognized in the country in question.

However, its international recognition can only be assessed by studying each particular case. According to article 6.2 of the REGULATION (EU) 2016/1191 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL of 6 July 2016 on promoting the free movement of citizens by simplifying the requirements for presenting certain public documents in the European Union and amending Regulation (EU) No 1024/2012, “a certified translation carried out by a person qualified to do so under the law of a Member State shall be accepted in all Member States.”

However, we recommend that you filter the list of translators by country to find a qualified translator who is certified in the country where you’re submitting the document to ensure its acceptance by the local requesting authority.

Of course! Normally all translator have digital signatures, so you shouldn’t need a physical copy. However, please confirm with the institution or organisation that a physical copy is not necessary.

*Please note that sworn translations being submitted in Germany and Poland must always be sent in physical form.

Most official documents must be legalised by the Apostille of the Hague to certify that they are authentic, before applying for a sworn translation. Check with the authority requesting your documentation if you need to legalise it and if it can be done through the Apostille of the Hague.

IMPORTANT: The Apostille must be added before the sworn translation, as it will also need to be translated by the sworn translator.
